- Your team manages service customers, customer devices and contract in an app with a PC or tablet.
- Service orders and reminders help your team plan service activities.
- Your technicians document service activities in an app using a smartphone, PC, Mac or tablet.
- If the device used supports scanning of QR codes or NFC tags and the customer devices are marked accordingly, customer devices can be scanned. Then all relevant data about the customer and device are known and only the status is recorded.
- For each service activity, a service report is generated as a PDF document. This is done by a Power Automate workflow and is usually done in a minute.
- Your technicians can check service reports in an app using their smartphone, PC, Mac or tablet.
- Your team uses Excel-based reporting and/or a Power BI report for monitoring.
- Support via Teams - Mon to Fri from 10 a.m. to 4 p.m.
- Creating the invoices for the service activities automatically is available as an add-on.

My solution
pobvol Service Solution was developed with Microsoft 365. The solution is installed and operated in your Microsoft 365 business environment. Your team plans and documents all service activities on a PC, Mac, tablet or smartphone. Service reports are created automatically for each service activity. A reporting supports your team in its monitoring. This keeps your service team productive and connected - whether in the office, at home or on the go. High cybersecurity, low costs.
Two Microsoft Power Apps are the most important part of the solution. Your team uses them to plan and document all service activities.
Following Microsoft services and tools are used for automation: Power Automate, PowerShell, Access and Excel Service reports are created by Power Automate. Reports, created by Excel, support your team in its monitoring. Data from Excel files and databases are processed by Access and saved in the solution's SharePoint lists.
Data and documents are stored in your SharePoint environment. I chose SharePoint to keep your license costs as low as possible. The limitations of this technology may require a switch to another data storage if the data volume is higher. This is not part of the solution!
A little configuration is enough to adapt the solution to your requirements. Your team can do this themselves or purchase it from me as a consulting service.
I provide bug fixes, adjustments and extensions with updates.
Functions:
Master data

Customers and devices can be taken from a database. Your team manages customers, devices, and contracts in an app. Your technicians need the master data for customer visits and the documentation of service activities.
Service orders

Your service orders contain all relevant information about the customer, device and appointment with just a few clicks. Automatically generated reminders for the next service activities help your team plan new service appointments.
Service activities

Your technicians scan the customer inventory using a barcode, QR code or NFC tag, or they use the information from a service order. This means that the customer and device data is pre-populated for the service activity and your technicians only record the results.
Service reports

For each service activity, a service report (PDF file) is automatically created when requested. The team is notified of new service documents by email and reviews them. Incorrect data is corrected. If everything is correct, the service report must be approved.
Reporting

A script regularly updates the Excel-based reports. This gives you a dashboard, a list of visited customers and a technician schedule. A Power BI report can be included also.

Your data and documents are stored in your SharePoint environment. This gives you full control over your data and allows you to control who can access it. SharePoint is included in Microsoft 365 Business Basic.

Appointments are saved in a shared Outlook calendar. From here, invitations are sent to your team and, if desired, to your customers. Outlook is included in Microsoft 365 Business Basic.

OneDrive is used by the PC component for automation. The tool synchronizes files between the PC component and your SharePoint library. OneDrive is included in Microsoft 365 Business Basic.

Access is used by the PC component for automation. Queries import data from Excel lists and databases into your SharePoint lists.

pobvol Service Board
With this app, your team manages its service data and monitors service activities and reports. The app is optimized for use with Microsoft Teams on tablets and PCs, but can also be used without restrictions in Microsoft Power Apps Mobile or in the browser. It is important that there is a connection to Microsoft 365 services. Use only in online mode!
