Service orders and reminders

Service orders and reminders are added, changed and deleted in the app 'pobvol Service Board'. They are saved in the SharePoint-list Serviceauftraege.

Reminders help your service team not to forget future service activities. They are only reminders and not aligned with customers! Users of the app group 'Service Orders' can create reminder at any time. This is created in the same way as a service order. It is important that the reminder field is set to "Yes"! The solution also automatically creates reminder for the next inspection / maintenance / check as soon as a service report is approved. When calculating the date, the service interval of the device is used. Reminders are only saved in SharePoint.

Service orders are appointments aligned with customers and additionally saved in an Outlook calendar. Outlook sends these appointments to the technician(s) and, if activated, to the customer.

Note: You can continue to manage your service appointments as before, e.g. in Outlook or via Excel lists. The app must not be used for the same.

Check settings (one-time)

In the app 'pobvol Service Phone' the settings for service orders should be checked once and, if necessary, adjusted. To do this, go to the app's home page and open the settings menu.

With these settings, the app will load service orders/reminders from the last 9 and the next 9 days. The restriction reduces the number of records that the app loads from the SharePoint list and thus the mobile data consumption.

The service order overview

All of the team's open service orders/reminders are listed. This helps with deputization. Every technician can find and take over any appointment at any time.

To filter the list, simply enter a search term in the search field. The orders/reminders that match the search term will then be displayed. The technician name, start time, month, year, service type, customer name, customer number, manufacturer, device type and inventory number are checked.

The list is sorted in ascending order by start time and customer name.

Sorting: Clicking on this icon changes the sorting of the list from ascending to descending and vice versa.

Refresh: Clicking on this icon reloads the data.

Select a service order/reminder in the overview.

Order/reminder: Customer inventory

Usually one device is displayed. In a collective order, all of the customer's devices with the corresponding device type are displayed (e.g. all industrial trucks). Clicking on a device calls up the recording of the service activity for the selected device.

Order/reminder: Bing-Maps

The location of the device is shown on a Bing map if your admin has entered a Bing Maps license key. If GPS coordinates are available, these are used, otherwise the address. If a different address was entered in the order/reminder, this will be displayed.
